Step 1: Choose dates and the guest list first

The two most limiting factors in choosing a venue will be the event date and the number of guests attending. Your chosen venue will need to be available and have the capacity to accommodate everyone you invite.

Nail down your guest list as soon as can so you have an idea of potential numbers. One of the easiest ways to choose a date is to put the word out early, via email or phone, to gauge everyone’s availability.

Naturally, not everyone will be free, but you’ll have a good idea of whether your preferred date will work for the majority of your guests. Send out invites well ahead of time so guests have the chance to plan for the event and RSVP.

Step 2: Know your target audience

Regardless of why you’re holding a function, knowing your target audience is critical in choosing the right venue. For example, do most of your guests have children, or are they younger couples and singles? Will they expect sophisticated surrounds, or be happier at an outdoor venue with playgrounds?

Step 3: Consider catering options

What’s the first thing most people want when they attend a function? You guessed it, food! If you’re choosing an outside catering option, like our hot dogs and traditional gourmet relishes, you need to ensure your function space is designed to accommodate caterers.

You’ll also need to think about the style of party. Would your guests prefer to nibble away while mingling? Step 4: Don’t forget the details

Once you’ve narrowed down your venues in terms of availability, capacity and dining options, it’s time to get down to the nitty gritty. Check the venue allows for any audiovisual requirements you have, and whether there’s ample parking, wheelchair access, a stage for any entertainers and alcohol service. It’s also a good idea to check whether you will be allowed to use your own themed decorations.

Making a list of your requirements is a great way to ensure you don’t miss anything. After all, the last thing you want to discover on the day is that the venue’s sound system isn’t appropriate for the expensive band you hired, or your great aunt can’t make it to the function room in her wheelchair!
